E-Mail
Manners

Convenience, timeliness and ease of use have made e-mail the
principal form of business communication for many professionals.
However, for all its convenience, e-mail can hurt your business
if it isn't used correctly. Sloppy writing, misunderstood
subtleties, poorly labeled messages and other missteps can waste
time, delay decisions or even fray relationships with valued
customers.
There's no need to risk
confusing, alienating or offending customers, partners or peers.
Follow these basic e-mail guidelines and you'll improve the
effectiveness of your communications.

Say
"hello" to the Smartphone
You see them everywhere
you go: businesspeople with their heads down and as
focused as a five year old ripping into their first
package on Christmas morning. Somehow, they traverse
busy hallways and squeeze into crowded elevators without
collision, while grabbing their email, heave a contract
cross country and correct a spreadsheet for their bosses
on the other side of town.
Simultaneously, you are
witnessing the genius of technology and, yet another
distinct advantage of the opposable thumb. It's the
smartphone. Thanks to blossoming consumer demand,
inexorable technological advancement, and the glorious
power of competition, smartphone sales are pointed
skyward.
Palm, maker of the
popular Treo line, said its sales jumped 85 percent from
2005 to 2006, and Microsoft claims the number of Windows
Mobile licensees sold jumped by 90 percent during the
same period. About 1.7 million smartphones were sold in
the U.S. in the first quarter of 2006, according to the
research firm IDC.
If you can identify
with either of the following, then wireless may be the right
connectivity solution for your small business...

Wireless Meets Small Business
Learn more about how wireless can add value to
your business operations, and the measures you must take to secure it before you
implement it.
These days, wireless computing means freedom in
business. No longer must people be tethered to their desks, bound by the mass of
cables and cords that connect their equipment. Wireless means work can be done
beyond office walls, from anywhere there is a wireless hotspot - which these
days seem to be everywhere - the airport, coffee shops, hotels, and many homes.
The possibilities for mobile working increase exponentially with wireless,
translating into increased productivity. At the same time, wireless introduces a
new set of security issues, and all too many businesses are jumping on the
wireless bandwagon before they understand the technology and all the risks
associated with it.
In July, the Yankee Group released a survey
indicating that spending on wireless voice and data services by small and
medium-sized businesses will grow by 93 percent this year. With dropping costs
of entry and more stable standards, going wireless is easier than ever for small
businesses. While the benefits of wireless can be great, you need to consider
your unique situation, and whether you have the time and expertise to manage the
security issues that can accompany wireless.

Getting a Handle on E-Mail Storage
E-mail
has become so ingrained in the way your company does
business that you probably can't imagine working without
it. However, for all its convenience, e-mail can also be
a problem. As the daily barrage of messages passes back
and forth, in-boxes get clogged, and before you know it,
you're facing a storage problem. Luckily, there are many
ways to solve that problem and not all of them involve
spending thousands of dollars on technology. Here are
some tips on finding the right solution for you.
Stop Problems Before They Start | To address the
issue of e-mail storage, you must first determine how
your employees manage their individual e-mail accounts.
Are they hanging on to every message they receive
because they're afraid to delete anything? If you don't
have a formal records-retention policy that spells out
how long messages should be kept before being discarded,
it's time to create one. If you use a commercial e-mail
program, such as Microsoft Exchange, you can set it to
automatically delete all e-mail older than a certain
time period for example, 30, 60 or 90 days to
guarantee compliance. (Employees can protect important
messages from deletion by moving them out of the main
mailbox and into personal, or .pst, folders.)
